Browse Menu

The Browse Menu lets you access different types of records in Collect!. View lists of Clients, Debtors, Transactions, Statements, Contacts and other related data. Examine Active or Closed accounts, or Daysheets. Use the Find By feature to quickly scan your database for a Phone Number, Account Number, Name, City and several other indexed fields.

Find By

This option displays a sub-menu where you may select the type of search you want to perform.

  • Find Debtors by Name, S.S.N., Date of Birth, or Drivers License.
  • Find records by File Number or Account Number.
  • Find listings by Street, City, State or ZIP Code.
  • Find Attachments by Index or Date.

When you select one of the Find By items to begin a search, you will be prompted to enter information. The form that is displayed will give you instructions for entering the "search string" for that particular item.

Each item that you can use to perform a search has different requirements for its search string.

Please read the instructions that are displayed as you begin your search.

Recent Debtor List

The Recent Debtor List option displays a list of last 25 accounts you were on. If the list is empty, this option is grayed out.

Select an item in the list to quickly return to any one of the last ten debtors you were viewing. Grayed out items are opened already.

Useful Note If items are grayed out, you need to close some of your open Debtor screens until you "uncover" the one you need.

Collect! updates this list continually, always displaying the ten most recent accounts that you were working. This list is updated whenever you enter a Debtor account.

If you are viewing Archived accounts, this list displays the last ten Archived Debtors you visited. Otherwise, the list displays the last ten debtors from your Live database. The list is database specific and only shows accounts from Live or Archived at one time, NOT a mixture of accounts from the two databases.

Instead of one global debtor list, the recent debtor list is remembered for each database an operator signs into. The list will display the appropriate recent debtors depending on the current database.

If you sign in with a different operator or shut down Collect! completely, this will clear out any list that Collect! created previously.

All Clients

This option displays a list of all Clients in the system.

When the Client list is displayed, type the name of the Client you want to find, and the system will search the list.

You can also print letters to selected Clients using either search criteria or record tagging, available from the Edit menu. Select a set of accounts from the list and then select Print from the top menu bar to access Reports and Letters that may be printed from the Client list.

Select the NEW button to enter a new Client.

Active Clients

This option displays a list of all clients in the system with the INACTIVE switch OFF.

Inactive Clients

This option displays a list of all clients in the system with the INACTIVE switch ON.

Master Clients

This option displays a list of all clients in the system with the CATEGORY of MASTER.

Legal Clients

This option displays a list of all clients in the system with the CATEGORY of LEGAL.

Prospective Clients

This option displays a list of all clients in the system with the CATEGORY of PROSPECTING.

All Debtors

This option displays a list of all accounts in the system.

When the Debtor list is displayed, type the name of the Debtor you want to find, and the system will search the list.

You may also print letters to selected Debtors by using either search criteria or record tagging, available from the Edit menu. Select a set of accounts from the list and then select Print from the top menu bar to access Reports and Letters that may be printed from the Debtor list.

Select the NEW button to enter a new account.

Active Debtors

This option displays a list of all accounts in the system with ACTIVE Mode. The function uses the Name and Mode fields as an index to list all active accounts in the system.

Closed Debtors

This option displays a list of all accounts in the system with CLOSED Mode. This function uses the Name and Mode fields as an index to list all closed accounts in the system.

When you close a Debtor, the Mode is changed to Closed and no further interest or other fee calculations are performed. Closed Debtors are often reported separately from active Debtors.

Related Parties

This option displays a list of all Debtor Cosigners in the system.

When the Cosigner list is displayed, type the name of the related party you want to find, and the system will search the list.

You can also print letters to selected Cosigners using either search criteria or record tagging, available from the Edit menu. Select a set of accounts from the list and then select Print from the top menu bar to access Reports and Letters that may be printed from the Debtor Cosigner list.

Contacts

This option displays a list of all Contacts previously scheduled on the system. This list shows all scheduled contacts and events in the system.

Select the column heading, Type, to sort the list by Contact Type. Select the column heading, Due Date, to sort the list by date. Select the column heading, Collector, to sort the list by Operator.

You may use search criteria available from the Edit menu to search this list and examine contacts.

Attachments

This option displays a list of all Attachments in the system. You may use search criteria available from the Edit menu to search this list and examine particular attachments.

Useful Note Several fields on the Attachment form are indexed for quick searches using the Find By function. Press F1 when the Attachment form is displayed or refer to the Help topic, Find By, for more information.

Attached Documents

Select Attached Documents to open the data folder connected with the currently open Client or Debtor. This opens the global folder where attachments are stored with the file number.

For example:

C:\Collect\bin\global\demodb\attach\debtor\1000\1424 stores files for Debtor Number 1424.

C:\Collect\bin\global\demodb\attach\client\1000\1566 stores files for Client Number 1566.

Once the folder opens, you can use any normal folder functions on the files, such as, opening, renaming, deleting, copying.

If no folder exists for the open Client or Debtor, Collect! will attempt to create one.

Useful Note You can save files to the attach folder using the Attachment File field if you want a particular file to be associated with additional information in an Attachment record. Or you can simply copy files to the folder once it is open, if you just want to see them when you select Browse, Attached Documents.

Useful Note By default, the "global" path is Collect\bin, but you can change this to a different location through System, Preferences, Database Preferences, if needed.

Transactions

This option displays a list of all Transactions in the system. Transactions record Debtor charges, fees, Debtor payments and account adjustments. These records affect both Client and Debtor accounts.

Select the column heading, Payment Date, to sort the list by Payment Date. Select the column heading, Posted Date, to sort the list by Posted Date.

You may use search criteria available from the Edit menu to search this list and examine transactions.

Phones

This option displays a list of all Phones records in the system. The Phone record stores information about each phone number related to your Debtor accounts.

You may use search criteria available from the Edit menu to search this list and examine phone records.

Statements

This option displays a list of all invoices generated in the system. At Month End, or perhaps some other period, statements must be generated to send to your Clients. The Invoice/Statement list shows a complete history of all statements that have been previously generated in Collect!.

Use the Month End menu to generate and to print statements.

Select the column heading, Date, to sort the list by Statement Date. You may use search criteria available from the Edit menu to search this list and examine statements.

Payments

This option displays a list of all Client payments received from Clients in response to invoices and statements sent to them. When statements are generated, these payments are recorded on the statement.

Select the column heading, Date, to sort the list by Payment Date. You may use search criteria available from the Edit menu to search this list and examine payments.

Useful Note This list displays only CLIENT Payments. DEBTOR payments are shown in the Transactions list.

Select the NEW button to enter a new Client Payment.

Client Contacts

This option displays a list of all Client Contacts previously scheduled on the system. This list shows all scheduled contacts and events in the system.

Select the column heading, Type, to sort the list by Contact Type. Select the column heading, Due Date, to sort the list by date. Select the column heading, Collector, to sort the list by Operator.

You may use search criteria available from the Edit menu to search this list and examine contacts.

Client Attachments

This option displays a list of all Client Attachments in the system. You may use search criteria available from the Edit menu to search this list and examine particular attachments.

Daysheets

This option displays the list of all Daysheets. These contain summary information for all financial activity for each day.

Select the column heading, Date, to sort the list by Payment Date.

Calendar

This option displays the Calendar used throughout the system.

Archived Records

Select Archived Records to view the sub-menu where you can select Archived Clients or Archived Debtors to view. Please refer to the Help topic, Archived Records, for more information.
