How To Setup Custom Invoice Numbering

By default, Collect! uses the Counter field for the Invoice Number. If blank, the system will populate the Counter field with a number generated from the Client Number and Invoice Date.

You can override this on your own. There are 2 options:

  1. In the Report directly
  2. Via the Counter option in Access Rights

Method 1 - Update Report

  1. Navigate to Print -> Customize Printing -> Edit Report Templates.
  2. Open the "Statement" Report Definition.
  3. Click in to the Report Body.
  4. Scroll down until you find the "@tvarInvNum* = @SQL(" variable.
  5. Update the variable by either modifying the SQL query or referencing something unique like the UID value.

Example:

@tvarInvNum* = @is.ui

Method 2 - Set The Counter Field To Autonumber

For NEW Collect! installations, this has already been enabled.

Useful Note You need to be signed on with a user ID that has sufficient Access Rights to make these changes. If you are signed on with at least a Level 1 or Level 10, you will be able to make the system modifications to enable Invoice #s.

  1. Click Browse, then select Statements.
  2. Open any Statement record.
  3. Useful Note If no Invoice/Statement record exists, click NEW to create one. When you are done, delete it.

  4. Right-click the Counter field and select Properties.
  5. On the Access Rights screen, check the Counter box.
  6. Useful Note On the Access rights screen for the Counter field, change the Alias to be "Inv #", if you want to update the label for the field.

  7. Click OK.
